BUSINESS POLICIES


Hours of Business:

Regular business hours are Monday through Friday, 9:00 am to 5:00pm. We offer 24-hour emergency support. Please call our main number at 207- 420 -7900 for information on how to reach us outside of business hours.

Placing an Order:

An approved account application must be on file prior to release of rental equipment. All orders placed with Maine Grip & Light, Maine Camera Company are considered “tentative holds” until confirmed. Confirmation is required at minimum 48 hours before check-out/ pick-up. We will notify customers with “tentative holds” if a scheduling conflict should arise. At that time the customer will have the option to confirm the order or release the hold. Cancellation of confirmed equipment must be made by 12:00 noon the day before equipment check-out/pick-up in order to avoid rental charges.

Price and Credit Card Security Hold:

Every day between the check-out day and check-in day is considered a billable shoot day. Discounts on weekly and long-term rentals are offered and negotiable. Discounts for repeat clients are offered and negotiable. Prices are subject to change without notice. A valid credit card is required for all rentals. The card is kept on file during the rental period so that any additional charges can be billed. We generally require a minimum $1000 hold on a Credit Card as a security deposit on high value rentals.

Grip Truck Policies:

Grip truck packages include a truck and selected equipment. Package or a-la-carte pricing is available and negotiable. Qualified Drivers are an additional cost and must be approved by Maine Grip & Light. Drivers are paid directly by production and considered employees of Production. Recommended drivers are available at various skill levels and corresponding day rates. The grip truck will be delivered to set at a time pre-arranged with Production. Each shooting day and transit day is considered a billable shoot day. Mileage and fuel are additional charges. See insurance policy for auto coverage requirements. Renter is required to cover the entire cost of any vehicle deductible if damage occurs.

Check-Out & Return:

Equipment check-out begin at 12:00 noon the business day before your shoot. Equipment pick-ups are scheduled between 3:00 and 5:30 p.m. on the business day before your shoot. Early pick-ups are subject to an additional half-day or full-day rental charge and considered a shoot day. Equipment returns are scheduled between 8:00 and 10:00 a.m. on the business day after your shoot. Late returns are subject to an additional half-day or full-day rental charge. Special arrangements may be made for check-out, pick-up or return times with advance notice. Pre-light or load-in days, during which a camera is picked up before 2:00 p.m. are billed as half days. Equipment shipped out-of-town will be billed at a two-day minimum, with the rental beginning the day after shipment and continuing until the equipment is returned.


Expendables Policy:

Expendable items are either billed by-item such as rope, tape, black wrap, foamcore, showcard, light bulbs, or, by-the-foot on items such as gel and diffusion, lumber, pipe, electrical cable. Discounts available on pre-opened items. Uncommon items must be prearranged, please check the standard expendables list.

Cancellations:

Due to the fact that our equipment is by reservation only, and your requested equipment is removed from our available equipment list, making it unavailable for other clients. We are forced to charge a cancellation fee to compensate for the time the equipment is not available as follows: A week prior to check out date: 25% of total rental invoice. Less than 48 hours: 50% of total rental invoice. Day of check out cancellation: 100% of the total rental invoice.

Delivery:

Delivery on individual items within the Greater Portland area is available for $75. Special arrangements can be made. For delivery outside the Greater Portland area please contact us for rates and details.


Shipping and Airline Fees:

Shipments for out-of-state productions are negotiated on a per-job basis and billed to the Renter. Airline baggage fees for equipment are negotiated on a per-job basis. Renter is responsible for confirming insurance coverage for full declared value on any and all equipment whether shipped via freight or in transit on commercial airlines. Freight forwarding options are available for larger orders.
